Creating a Rule in Outlook |
|
If you like, Outlook can automatically send email to a specified folder. To set this up, just do the following:
1. Right-click on the email you wish to automatically move. Notice that a menu appears.
2. Click on Create Rule.
3. A new window will appear. In this window you will have the option to choose if you would like all emails from this particular sender, emails with that subject line or emails just to you to go to a separate folder. Doing so is as easy as placing a checkmark in the appropriate box. For this demonstration, we will choose for all emails from this sender.
4. We will now choose to move it to a specific folder by first placing a checkmark and then specifying which folder we would like it to go.
5. A new menu will appear. Select the folder you wish for the email to go to and then click OK. For this demonstration, we will select a folder called A New Folder.
6. You will now be back at the menu from steps 3 and 4. Notice that the name of the folder that you would like to move the email to is now filled in. From here, click OK.
7. A box will appear and ask if you would like the rule to be applied to the current folder. What this basically means is Outlook is asking if would you like it to go ahead and move all of the emails from this person to that folder now. If this is the case, put a checkmark in the box and click OK.
From this point on, all emails from that person will appear directly in the specified folder. Please note - any new emails that come from this sender will go directly into the specified folder and NOT into the Inbox as before. Using our example to illustrate, if sender "Mihalis" sends me an email, the email will not appear in my Inbox. Instead, this email will appear in A New Folder.
